It drowns in source documents. Invoices arrive as photos in a messenger, receipts sit in the driver's pocket, and half the paperwork gets entered from memory at the end of the month. An AI bookkeeper takes this layer of manual work off the table. Here is how it works, what it can already do and where the decision stays with the accountant. ## Where time and money leak Every invoice has to be opened, the supplier found, the line items, quantities and prices retyped, then checked against the order and the payment. With dozens of documents a week, that adds up to hours nobody counts. Misses cost more than time. A supplier raised the price of one item, and the cost of a dish or product crept up. Less was delivered than ordered, but the full amount was paid. These things surface a month later in the profit report, when it's too late to sort them out. ## How an AI bookkeeper works An employee photographs the invoice or receipt and sends it to Telegram. A voice note works too: “taxi to the supplier, €12”. The AI reads the document, extracts the supplier, date, line items, quantities, prices and tax, matches them to your item catalogue and proposes an accounting entry. Then comes reconciliation: does the invoice match the order, has the price changed since the last delivery, has it been paid. Anything that doesn't add up goes to the accountant as a separate list with a photo of the document. The rest is posted to 1C, SmartBill or a spreadsheet with no manual entry. By the start of the month the AI puts together a review: which expense lines grew, which suppliers raised prices, where margin dropped and why. Not a forty-row table, but five points worth checking. ## E-invoicing changes the picture In Romania, invoices between companies already go through the e-Factura system as XML, and it's easier to pull them in directly than to photograph them. In Moldova and Ukraine, e-invoices and electronic tax invoices are spreading too. So an AI bookkeeper works with two streams: electronic documents are pulled in automatically, and photos cover what still arrives on paper: receipts, small suppliers, employee expenses. ## Where the decision stays with the accountant Reading a good photo is almost error-free today, but poor photos, handwritten corrections and non-standard documents need checking. That's why, in a proper setup, the AI never posts a document silently if there is any doubt: it shows what it recognised and asks for confirmation. Tax decisions, disputed expenses and period close stay with the accountant.
