# The guest has already written what went wrong.
You find out in hours, not in a month

Reputation Loop is a feedback loop for businesses running several locations. Reviews from Google and delivery platforms, private guest messages, and per-location ratings arrive as one stream. Every review gets a reply in the guest's language; every problem location becomes a signal to the owner. No manual monitoring, no agency in the middle.

— 01 / What breaks in a chain

## Feedback is the one process in a multi-location business that usually has no owner

With one location the owner sees the guest directly. With five, they learn about the problem from revenue. Below: seven places where feedback breaks, and what the loop puts in their place.

A one-star review sits for a week until someone happens to open the location's listing

→ Every new review lands in the owner's messenger: location, rating, topic, text

The manager retells the complaint in the version that suits them

→ You read the primary source — the guest's own words, with no intermediary

Whoever has time replies: sometimes a template, sometimes silence, sometimes mixed languages

→ A draft reply is ready immediately — in the review's language, following your scripts, anchored in specifics

The delivery rating drops, and you see it in revenue before you see it in the rating

→ Platform scores are pulled automatically; a drop arrives as an alert the same day

The guest has nowhere to write except the public listing

→ A private channel: the complaint is resolved in conversation before it becomes a public review

The «how is our reputation doing» review happens once a year, by mood

→ Weekly and monthly summary: a loyalty index per location and its trend

One bad shift looks like a chain-wide problem — and vice versa

→ Everything is cut by location and country: you see what is systemic and what was one bad evening

— 02 / Who buys this

## One loop — four different answers to «why»

Feedback touches four functions at once, and each looks at it from a different angle. Here is what changes for each, and the metric that shows it.

Owner · founder

Today

Learns about the problem last and secondhand: first the revenue, then the manager's explanation.

With the loop

The primary source in the messenger: the guest's words, the location, the topic, a draft reply. Two buttons instead of a meeting.

Metric

Share of reviews answered and time from review to reaction

CEO · COO

Today

Complaints arrive scattered, and a systemic problem is indistinguishable from one bad shift.

With the loop

Topics by location and country, recurrence, weekly and monthly cuts — instead of impressions.

Metric

Recurrence of a topic per location and its month-over-month trend

CMO · marketing director

Today

Reputation is felt, not measured. A storefront rating slips and it shows up in revenue first.

With the loop

A loyalty index per location, platform ratings and brand mentions as a managed asset rather than background noise.

Metric

Per-location loyalty index and storefront rating as a source of organic traffic

Service director · chain manager

Today

Standards are written down but checked selectively — and through the eyes of the people being checked.

With the loop

Feedback as a continuous audit of standards, plus a private channel where a complaint is closed before publication.

Metric

Time to reply to a guest and share of cases closed in the private channel

— 03 / Who it is for

## Businesses with foot traffic and more than one location

The economics start where the owner physically cannot read everything: three locations and up, guest flow, public listings on several platforms, staff that rotates. The industry is secondary — the structure is what matters: many human interactions, distributed quality, a public rating that drives traffic.

Markets

Moldova, Romania, Ukraine — three markets where the loop already runs live locations. Reply languages: Romanian, Russian, Ukrainian, English, Hungarian. Local delivery platforms in these markets are treated on par with Google.

## What happens between the guest's review and the owner's decision

This is the actual sequence, not a slide diagram. Everything in it happens without a human — up to the point where a human is needed.

00:00

### The guest leaves a review

The rating and text appear on the location's Google listing or on a delivery platform. Nothing is required from the guest — no links, no QR codes, no staff asking for stars.

\+ minutes

### The review enters the loop

The system pulls the review with its original text and language, resolves the location and country, and filters duplicates and stale records. Nothing is lost and nothing arrives twice.

\+ seconds

### Analysis

The model labels sentiment, topic (kitchen, speed, service, delivery, price, cleanliness), urgency, and translates the text into the owner's language. Topic is what the statistics are later built on.

\+ seconds

### Draft reply

The reply is written in the guest's language, following your approved scripts, anchored in the specifics of the review. No clichés, no invented promises, no phone numbers or facts that don't exist in your data.

\+ minutes

### The owner sees a card

The messenger gets: location, rating, topic, guest text, translation, draft reply. Two buttons — publish or edit. An edit is sent as a single message.

Publication

### The reply goes out under the brand

The reply appears on the public listing. You choose the mode: confirm every reply, or auto-publish with a notification — the second is switched on once trust in the tone is earned.

After the reply

### The guest moves to a private channel

The reply includes an invitation to write directly. This guest's next complaint reaches you in a conversation, not in the public rating. The owner's answer goes back to the guest through the same channel.

Monday · 1st of month

### A summary instead of a feeling

Weekly and monthly cut: loyalty index per location, recurring topics, what improved and what slipped, where a platform rating went down.

— 05 / What's inside

## Ten nodes of the loop

The product is assembled from existing nodes — for your chain we configure the composition rather than write from scratch. That is why implementation takes weeks, not a quarter.

01

### Public listing monitoring

Every location under watch, including new ones: a location is added to the loop, not bought as another license.

02

### Delivery platform ratings

Scores and vote counts are captured regularly; a storefront rating drop is its own alert.

03

### AI review analysis

Sentiment, topic, urgency, translation into the owner's language — across every language the chain operates in.

04

### Reply in the guest's language

A draft following your scripts, with a dedicated model for reply quality. Clean language, no mixing, no filler.

05

### Publish and edit

A «publish» button, an «edit» button, an auto-publish mode — switched without rebuilding the loop.

06

### Private guest channel

Two-way conversation: the guest writes, the owner replies, the answer reaches the guest. A nudge if a message sits unanswered.

07

### Loyalty index per location

NPS logic on your own ratings: 0–100 per location, delta vs last month, an explicit «not enough data» instead of false precision.

08

### Summaries

Daily, weekly, monthly. Cut by country, topic and location — in the language you use with your team.

09

### Brand mentions

News and media across your markets, filtered against unrelated same-name brands — a fire, an inspection or a competitor opening doesn't reach you via social media.

10

### Scripts and boundaries

What the bot says on each topic and what it will never say: sensitive topics, legal wording, the limits of any promise.

## Three ways to run feedback in a chain

The manual process is cheaper in budget and more expensive in attention. A subscription service removes part of the work and knows nothing about your business. The loop is your process, not somebody else's product.

## Counted in the open: what silence costs

An illustrative calculation with visible assumptions. We dislike math where the numbers appear from nowhere, so every input is listed separately — substitute yours and see whether it holds.

Assumptions

Chain size

10 locations

Review flow

60 per month

Below four stars

15%

Average check and frequency

€12 · 2 visits per month

A regular guest over a year

average check × frequency × 12 months — the price of one person who stopped coming

≈ €290

Unanswered negative reviews

each one is read by everyone choosing you on the map before a visit or an order

9 per month

Manager time spent on manual monitoring

10 locations × 20 minutes a day — work nobody counts as work

≈ 100 h/month

Retaining five regulars per location over a year

50 guests at €290 — the loop doesn't retain guests by itself; it buys you the chance to react

≈ €14,500

Break-even≈ 5 guests

A €1,500 Standard implementation pays for itself if the chain retains five regulars over a year — one per two locations. Everything above that is profit from a process nobody was managing before.

The numbers are illustrative and deliberately conservative. In the diagnostic we run them on yours: your average check, your frequency, your actual review flow per listing.

## A chain where the loop runs every day

Under NDA · Asian street food chain

### 20+ locations across four countries, one feedback stream

The chain grew faster than its control layer: reviews were read manually and not for every location, replies happened occasionally, delivery storefront ratings lived their own life. We built a loop that captures reviews across all locations, replies in the guest's language, runs the private guest conversation, and hands the owner a per-location cut every week. Integration specifics are under NDA: the case describes the logic and the outcome, not the recipe.

## Implementation is fixed. The chain grows without recounting licenses

You buy a loop, not a per-location subscription. Implementation is one-off; after that, operation: server, models, updates, and adding new locations.

Standard

€1,500

implementation, one-off

Up to 5 locations, one country. Google and up to two delivery platforms, review analysis, replies with confirmation, private guest channel, daily summary.

Network

€2,900

implementation, one-off

Up to 25 locations, multiple countries and languages. All available platforms, auto-publication at your discretion, loyalty index per location, weekly and monthly summaries, roles and access for the operations director and location managers.

Operation

€150

per month, optional

Server and models, source updates, reply quality control, adding new locations, script changes. Your team can take it over — the loop is handed off with documentation.

Not included: doing the managers' job. The loop delivers the signal, the reply and the statistics — decisions about kitchen, staff and standards stay yours. Access to the locations' public profiles is provided by the client.

— 10 / Objections

## What usually gets asked before signing

«We already reply to reviews»

The question is not whether you reply, but with what coverage and how fast. In the first diagnostic week we show, on your own listings, how many reviews went unanswered, at which locations, and with what delay the rest were handled. That usually ends the discussion.

«The AI will write something stupid, and it's public»

Three safeguards: agreed scripts and forbidden topics instead of improvisation, confirmation mode at the start, and an edit button that overwrites a published reply. Plus a silent-run week where you read drafts and nothing is published.

«That's the marketer's or the SMM agency's job»

A marketer should be deciding what to do about a «slow delivery» topic across three locations, not opening listings in a loop. The system takes the mechanical part and leaves the part that needs a head.

«We're a franchise with several legal entities and partners»

Roles and access: the owner sees the chain, a franchisee sees their locations. Scripts can stay shared at brand level while alert recipients are split per location owner.

«We already pay for a review management service»

Then compare on platform coverage, reply language, the private channel, and the price of a new location. The loop can run alongside for a month so you compare actual replies — more honest than a feature argument.

«We don't want vendor dependency»

The loop is deployed on your server or moved to it on request, the access and the conversations are yours, documentation is handed over. Operation can be taken in-house at any time — this is not a subscription that switches off along with your data.

## Four weeks from access to a working loop

01

### Week 1 · Inventory

We collect every location, public listing, delivery storefront, language and access. Output: a map of what the chain actually has — including duplicate listings and forgotten storefronts.

02

### Week 2 · Scripts and boundaries

We fix the brand tone, per-location facts, and excluded topics: health complaints, conflicts, personal data. One call and one document — the loop then speaks by it.

03

### Week 3 · Silent run

The loop works on the live stream but publishes nothing. You read the drafts and adjust the tone. This is where trust in the replies is built.

04

### Week 4 · Handover

We switch on publication, configure summaries, roles and the private channel. Then operation — by your team or ours.

— 12 / Questions

## What chain owners ask

How is this different from subscription review-management tools?+

A subscription tool is a universal product: it covers the platforms the vendor integrated and answers with templates, because it doesn't know your menu, locations or standards. Reputation Loop is a loop on your side: platform coverage, scripts, boundaries, languages and alert recipients are configured for your chain, the data stays with you, and the price doesn't scale linearly with location count.

Who actually replies to the guest — the model or a human?+

The owner decides. Default mode: the model drafts by your scripts, a human hits «publish» or corrects it in one message. Once trust in the tone is earned, auto-publication with notification is switched on — the reply goes out on its own, you see what went out, and you can rewrite it.

What if the model replies badly?+

Three safeguards. First, scripts and forbidden topics: sensitive cases use agreed wording, not improvisation. Second, confirmation mode at the start. Third, the edit button: a published reply gets overwritten. Separately, the loop invents no facts — phone numbers, addresses and commitments come only from your data.

What do you need from us to make it work?+

Manager access to the locations' public profiles, the list of locations and storefronts, one call about scripts, and one decision — publish with confirmation or automatically. Everything else is on our side.

Does it work with delivery platforms?+

Ratings and vote counts — yes, for every location where the platform exposes them publicly. Full review texts are not public: they can be connected through your partner account. We mark honestly in the interface where data is automatic and where it was captured manually.

How many locations make this worthwhile?+

Three and up. With one location the owner manages alone — the loop saves attention exactly where reading everything is physically impossible. There is no upper limit: chains with 20+ locations across four countries already run in a single loop.

Which languages does the loop reply in?+

Romanian, Russian, Ukrainian, English, Hungarian — and any language your guests write in. The core rule: the reply is in the review's language, with no language mixing; the owner sees the text in their own language.

Is it a subscription or our own system?+

Your system. Implementation is one-off, the loop lives on your server or ours at your choice, the data and conversations are yours, documentation is handed over. Operation can be taken in-house at any point.
